Linked Record Widgets are widgets added to a specific record type; they can display information about linked records in a similar way to how Created Widgets work on the home page.
To create a Linked Record widget click on the plus icon in the top right corner of the record page.
This will open the popup shown below:
From here you can give your widget a title and select the data source that you wish to display in your widget, for example, you may wish to create a widget to display all linked leases on a property record. After selecting the source you can select which tab you would like the widget to display on; in this example, you may wish the linked lease records to display on the Tasks tab. Next, you can use the filters to filter the data set to the chosen parameters, for more information on filters see Custom Filters. You can also select which columns (including UDF fields) you wish to display in the widget.
There are two checkboxes you will need to consider on the Create Widget popup:
- Publish Globally - This check box determines whether the widget you are creating will be available for all users to view, or just the current user's account. By default, the widget will only be available on the current user's account, but by selecting the check box it will be added to the list of widget options that every user has access to. Note that this check box is security controlled and so only a limited number of users will be able to publish widgets globally.
- Show Restricted Data - Selecting this option will allow users to view a limited amount of data on records that they do not have access to view. The data will appear only in this widget, and any user without access to the record will not be able to view the linked record. Note that this check box is security controlled and so only a limited number of users will be able to grant access to restricted data. For example, a user has access to view property records and no access to lease records. When a widget is created with Show Restricted Data selected, such a user can be granted access to view lease information on a property record without needing to have access to the actual lease records.
Once you have finished creating your widget, click the Add button to add the widget to your selected tab. Click Cancel to return to the record page.
At the bottom of any tab on any record, there is an option to add widgets.
Select a widget from the dropdown and click. The widget will be added to the tab you are on currently. Widgets available in this dropdown are UDF widgets that have been configured by the administrator. When a widget is added using this functionality, the widget can then be removed from the tab by clicking the
on the widget. The widget will then become available again in the
dropdown and can be added to any tab at any time.
