Introduction
The SFG20 functionality allows users to take the SFG20 data changes and updates them to existing maintenance data. This follows the format of the resolve screen on Templates where the user can be given the options to select which items can be updated.
The functionality now has two new user options within the Maintenance menu, namely SFG20 schedules and SFG20 Search. These are controlled by FAL settings to allow the client control over who is able to do what function.
The functionality has an API link from iSite into the source SFG20 data. At set times and when there are changes to the Maintenance schedules, iSite and the clients will be informed when these changes will take effect. Via the API, the change data will be imported to the Schedules menu option, whereby the user will be presented with the types of changes that they will be able to action.
These changes could be in three forms:
- New schedules being introduced
- Changes / additions to actions, Frequencies etc
- Legislation changes
Via the UI, the users will be able to update varying elements of the Maintenance schedules form these new screens. They will be able to create new templates, update Plans and add /update checkpoints with the latter being in the drag and drop format.

This menu option will present the user with any New / Changes / Updates that will be taking affect. The screenshot below shows that the user will have the ability to see what type of change is for each schedule type, what the SFG code is, Criticality of the Tasks and the type of change. The user also has the ability to export the data if they so wish. There are also 3 tabs that will show the user what actions have taken place on these imported items. They are broken down into
- Not Processed – No action taken to date (Outstanding)
- Implemented – Action taken (By who and when)
- Ignored – User ignored to take no action as these may not be items they maintain (Who and when)
The user is able to click on any of the lines presented and the system will take you to the Template details screen where they will be able to view, maintain and update relevant parts of the Template, Plans and checkpoints data on one screen.
From this schedule screen, the user can see any Outstanding schedules not actioned, Any that have been processed and any that have been ignored.
New schedules Introduced
If it’s a new schedule is introduced, the system will create a blank Template Header details populated from the SFG20 schedule. The user will also be presented with a bank checkpoints widget. The new functionality will allow the user to drag and drop details to start creating the Template with its associated checkpoints and add additional checkpoint lines.

Created Templates will have the SFG20 reference now appearing in the Templates, whereby users with access will be able to select the link and it will take you to the relevant schedule.
Where there are changes and version updates, the user will be presented with the ‘Ignore’, ‘Finished & Complete’ button. The latter of which will confirm the user has made all the relevant changes. The user also has the ability to create a new template, using the Create New button.
When user confirms that they want to Finish & Complete, they will be presented with a confirmation screen to add a comment. This confirmation that this schedule has been processed and will remove it from the outstanding schedules.
Existing Template that requires updating
From the screen below, you can see that the selection now shows the total overview of the schedule and its changes details on the left and an existing linked Template for this schedule which can be updated. The user is able to Ignore or Finish and complete all. This will update dates and version numbers.
If the user chooses to ignore this change, they will be presented with an Ignore Schedule dialogue box.
If ignored, then this will be recorded onto the relevant comments tab for audit purposes
If the user is to click on the Linked Template, they are presented with the detailed Template and checkpoint screens. We have made it easier for the user in that they will be able to scroll the left and right-hand sides of the page independently so that the user can access all the widgets on the page.
From here, they will be able to drag and drop the details they want to update within the checkpoint actions and descriptions fields, plus add additional actions to keep each separated. They will also have the ability to sequence the actions using the up-down arrows, remove them and undo them if they remove by mistake. Upon saving the checkpoint details, the system will then update the associated plans with the changes.
The notifications that are received by the suppliers have also been updated so that the added actions to checkpoints are detailed in the CSV attachments sent. Changes will be highlighted with an Asterix against the line entry.

With this menu option, we have replicated the SFG tree structure and made it simpler for the user to navigate. Below shows the structure users have to trawl through at the moment and the manual task of updating, and creating Templates and plans.
To export to Excel, users can use the search function to navigate to the relevant schedule in the tree when maintaining Templates as a BAU function. They will be able to use the drag and drop function to maintain existing records with the most up-to-date data.

Existing Templates and Plan records
When users update/ amend existing Templates and Plans, they are able to apply the same format to add actions line by line, re-arrange sequences, and obsolete as they can in the SFG functionality to the checkpoints. The user will be able to add a meaningful description to each checkpoint frequency and then add the actions below as shown in the various screenshots below.
If the user updates/adds checkpoints on a Template, the actions added will transfer onto any associated Plans. Users can use this functionality to create standalone Plans and are not restricted to applying via a Template.
Create New Template
Users must ensure that they click on the add option to insert the new action, otherwise, it will not be saved. Also, the user needs to remember to click on the ‘Add Checkpoint’ button to apply the checkpoint to the template.

Existing Template
The user is able to update an existing Template by making changes, or adding additional actions or checkpoints. Users must ensure that they click on the add option to insert the new action line, otherwise, it will not be saved. Also, the user needs to remember to click on the ‘Save Checkpoint’ button to apply the checkpoint to the template. Upon selecting ‘Save Checkpoint’, the user will be prompted with a message to alert them that any associated plans to the template will also be updated with the changes.
