When maintenance activities are scheduled, the assigned supplier and the related property (branch) will receive email notifications containing the activities schedule. The schedules are sent every month, every 3 months and annually and contain a .csv spreadsheet of all occurrences within that time period plus 1 month lead time. For example, if the monthly notification is sent on 01/ 05 / 2019, the spreadsheet will contain all planned occurrences for the period of 01/ 06/ 2019 to 30/ 06 /2019. If any of the occurrences have been edited post initial creation, the assigned supplier and the related property (branch) will receive a daily email digest notification containing any changes to the relevant occurrences within the last 24 hours that are due within the upcoming month. In the spreadsheet attached to the email notification the changes will be indicated by an asterisk. An example of the email notification is below:
If the Stop the clock functionality is used on a maintenance plan, the assigned suppliers will receive an instant 'Activities on Stop'email notification informing them that the occurrences assigned to them that are due within the next month have been put on hold. A similar email notification is sent when the clock on the maintenance plan is resumed. The potentially affected occurrences will be listed in the spreadsheet attached to the email. If any of the occurrences are rejected, the assigned suppliers will receive a daily email digest notification containing a spreadsheet with all the rejections and the reasons for rejection. An example of the email notification is below:
If any statutory occurrences are rejected or become overdue, all users with the job role of PPM Administrator will receive a daily email digest notification containing a spreadsheet with all the failed or overdue occurrences within the system. An example of the email notification is below:
