Project Clone
When a Project is cloned, new fields have been added so that users are now able to set a Start Date and add a Timeline template and if the timeline template excludes weekends, then there is a checkbox that will be checked. The clone option also copies across all data from the original record cloned from.
Note: The start date on the cloned form will state Todays’ date and the user will need to amend accordingly
Mandatory Flag on Make field on Asset Record
The mandatory flag has been removed from the ‘Make field’ on Asset record
Resolved Service Requests on Mobile ‘My Service Requests’ screen
Service Requests that have been resolved are now removed from the ‘My Service Request’ screen on mobile, so that only Live requests are visible
Text filtering on Search Pages
A new search bar has been added to the top of all search pages, letting you quickly filter your results without having to set up filters for each individual column.
When you type into this search bar, it will filter every text-based column on the page and update your results.
Column selector list sorting and Grouping
Column selector lists are now presented differently in that they are grouped and sorted in alphabetical order. If a record has UDF sections, then these are grouped separately also in alphabetical order. Users can select fields from each of these groups as required and can select ALL (Not advisable, as it will not present correctly if there are many fields)
Note: This change only applies to the existing fields that are in the column selector list and not all fields
Record Search screen sorting
Changes have been made so that record search screens now either sort in Descending order where record Ref exist or in alphabetical order where the records are presented by a name
Records that will now show in descending order
- Service Requests
- Reactive Work Orders
- PPM work orders
- Lease records
- Purchase Orders
- Purchase Requisitions
- Projects
- Programmes
- Project Templates
- Tasks
- Bookings
Records that will sort in Alphabetical order
- Contacts
- Organisations
- Property
- Assets
Live Service Request widgets sorting
The Live Service Request widgets on Property and Asset now sort in that the most recent record is presented at the top of the list
Property Notes Availability on Lease record
Notes added to a Property record can now also be viewed on the related Lease record. This makes it easier for users to see relevant information without switching between records. Any notes added or updated in the Property notes widget will automatically appear on the associated Lease record.
There is a FAL setting that allows users to have the Notes widget available when on the Lease record
Accessing Related Property Notes Widget on Lease Record
Users can access the Related Property notes widget on the Lease record by adding the widget from the Add Widget option at the bottom of the record screen.
You will see that this widget is view only.
The data that will populate in this widget will be dictated by notes being added to the Notes widget on the Property record. Below shows a note added
If we now look at the Lease that is related to the Property where the note was added, the user will see the note has been replicated
Mobile Summary Page Filtering
The mobile summary page has been reformatted so that when the user searches using any of the filter combinations, the results that come back always lists with the latest record at the top and then lists the rest in descending order. This makes it easier for the user so that they see the current record rather than having to scroll to the bottom of the list
Customer Sign off on Mobile
We have added the ability off the mobile application to include a customer sign off when work has been completed by the engineer.
The view of the completed work order has change and looks like the below.
The description of the job the engineer has been called out for, can be compared to the summary of what the engineer has done when attending the scene.
The requires client sign off is non mandatory so only if a sign off is required the engineer can tick this job and take the clients name and signature on completion.
Lease Statuses
We have introduced a new status widget within the lease record, making it easier to see what the status of that lease is i.e. Active, Holding Over or expired. The system relies on the user to create rules based on legislative geography, if the Landlord Tenant act applies, and what lease the status should show once the expiry has been reached.
When new leases are added to the system the system will look up against this table and verify the status of the lease. If the Expiry date for the lease has not been reached the Lease will be in Active status. ISite will run a batch job each night to check against the lease expiry date and the lease admin portal and update the lease status accordingly.
Lease Breaks Completion Notes
We have reordered the format in which dates on the lease breaks are displayed to have a better flow. Users will also notice that when completing a break option/event that you can add completion notes.
The notes are captured at the end of break event.
Document Archival Removal and Retention Introduction
The Document Archival section has been removed from Document Properties. As a result, users can no longer apply or schedule this flag on a document.
It has been replaced by a new Document Retention section.
This section allows users to choose either a predefined retention period or a custom date.
When a document reaches the end of its retention period, it is moved to the recycle bin. This helps support legal compliance and data protection requirements. This action is performed by an overnight job and will refresh / move documents every night.
Retention period can also be set on document upload
Predefined retention periods can be configured for each client. Please contact your support team to set the required time periods.
Additional Document Basket Options
Document expiry and retention can now be set from the document basket options.
Once selected, these options allow users to update multiple documents at the same time. The process follows the same format as setting them individually.
Expiry Email Recipients
Expiry emails can now be sent to either a mailing group or an individual contact.
Select the recipient type, then use the record search box to find and choose the required recipient.
Document sharing via link
The mail icon for sharing sending documents has been replaced with a new share icon
Within the popup there is now an option to share the document via a link to the DMS
Once clicked this copies the link to clipboard so you can send to users however you wish.
Clicking on these links takes you directly to the DMS with a filter for that specific document
PPM – Editable check points
We have allowed engineers to ability to add check points to their work order within planned maintenance. PPM creators can allow editable actions points on their soft PPM work orders, which gives engineers the ability to add extra checkpoints that they carry out. The soft PPM function is built for engineers or end users to carry out daily or even weekly tasks.
Users can add check points, which then saves back onto the work order and plan for reference. For the next generated work order in the plan, the original points will be on the checklist.
Multiple Sources on dashboard widget
Dashboard widgets have had an overhaul so that it is a lot simpler for users to create widgets that contain multiple sources
The optional source dropdown now contains a predefined list of optional sources for each main source. These have been chosen and linked using the most common record link types and utilise the field names instead of just record type names.
Additionally, we are now able to set filters using both sets of sources, previously we could just filter the main source.
We have also added the ability to export this data to excel and configure exporting per widget.
The previous additional sources can still be accessed by selecting the advanced sources toggle
