Quick Links Widget
The newly developed Quick Links Widget provides users with a convenient way to store and access quick links to various sections of iSite, making navigation within iSite more efficient. This feature enables an admin user to create direct hyperlinks to areas found within the iSite left-side menu options or the Document Management Suite (DMS) module. Once set up this widget will then be available to all users. Using this homepage widget, users can efficiently access frequently used sections without excessive clicking, enhancing efficiency.
To configure and manage these quick links, an admin user must navigate to a designated Administration section located within the Admin panel, under “Content” > “Manage Quick Links”:
Within this section, users can create, organise, and manage hyperlinks, ensuring that the widget remains structured and easy to use.
The admin user has the ability to organise links into distinct sections for improved readability. At the top of the page, a section creation bar allows users to group related links together, making it easier to locate specific links when needed. The widget must have at least one section.
Once sections have been created, users can add specific hyperlinks through the right-side "Add Links" options panel. Here, they have the flexibility to:
- Assign a custom name to the link, allowing for personalised links’ labels.
- Specify whether the link directs to an iSite menu option or a document library.
- Choose the specific link destination from a dropdown menu, which includes predefined options, for example, users can select "Search Lease" for a menu navigation link or "Lease Documents" for a documents library link.
Users can also update Section names by selecting the section, entering new name and then pressing “Update Section”.
Then, users can add specific hyperlinks to the section using the right-side add links options. Users must first select the destination section – the section will highlight in blue as shown on the screenshot above.
There users can assign a custom name to the link and select whether the link to be created is a menu option or a document library from the dropdown provided.
After selecting an option from dropdown users can then select the specific link destination option e.g. “Search Lease” or the “Lease Documents” Library.
When adding a new quick link, users will encounter different selection interfaces based on the type of link they wish to create:
- For document libraries - A document library selector will be displayed, enabling users to pick from available libraries within the Document Management Suite module.
- For menu options - Users will be presented with a search screen where they can search for the desired iSite menu option. The search box provided is dynamic showing results after a user has entered 3 characters - allowing them to quickly choose the desired menu link.
To select, users should ensure to press the blue “Select” button, in the bottom-right corner.
After setting up the Quick Links Widget users can then view the widget on their homepage and navigate to all the set-up iSite locations with one click – using the hyperlinks presented within the widget.
The admin set-up could end up looking a little like this, as in the screenshot below. If users wish to edit any of the links, they can press the “Edit” hyperlink – which will then allow them to edit the link in the same way they added the link.
Example of an edit:
All users who have added the widget to their homepage, should then be able to see all the links displayed in hyperlink format:
Document Expiry Functionality
The new Document Expiry functionality in iSite enables users to efficiently manage documents by setting and modifying expiry dates through the document properties feature. To ensure timely action, users will receive automated notifications via the Mailing Group on the 1st of every month. Expired documents will be archived within the system for record-keeping.
Users will receive notifications via a Mailing Group functionality, the expiry date as well as Mailing Group can be set up on documents via the arrow down dropdown, Document properties tab.
Users can then navigate to the Expire tab where they can manually expire the document on the spot, by pressing the dark blue “Expire” button. Please note users can always revert this change by navigating to the expired document within the DMS and reverting the change within the Expire tab.
Users can also schedule the expiration, by pressing the “Schedule” button on the “Schedule document expiration” tab. This will display a pop-up with a date-picker where a user can select their desired expiry date.
Users should select the date, and then press OK.
Users can also set a mailing group which will receive the notification with the digest, this can be a select set of users set up within a mailing group who is to receive the digest. They can do this using the “Mailing Group” section by pressing the “Set Expiry Mailing Group”. They will then be presented with a pop-up which will allow them to search for a Mailing Group by name.
The members of this mailing group will then receive a digest email with a list of documents-to-expire (documents for which a mailing group of which they are a member of has been selected), on every 1st day of the month. The digest shows documents that are set to expire in the next 30 days.
Additionally, a new homepage widget, "Expiring Documents," provides a quick overview of soon-to-expire documents for the users that are in the selected mailing groups for those specific documents.
This allows users to track, navigate to, and then extend expiry dates as needed. Users can the change expiry dates for documents using the document properties functionality – by choosing to reschedule document expiry in the same manner the expiry was initially scheduled.
They can navigate to the specific document by pressing on the blue hyperlink name of the document within the widget.
