Archiving Documents
If a document is available then the Document Status appears as ‘Active’. To archive a document click on the button; this will change the Document Status to ‘Archived’. The document will still appear in the library but it will be greyed out so that standard users cannot interact with it; users with sufficient permissions will be able to access Document Properties in order to alter the status of the document.
Schedule document archiving allows you to select the date that the document will be archived; this may be useful when you only need the document to be available for a predetermined fixed time period. To schedule a document to be archived first click on ; this will open the box shown below.
Then click on the date button ; this will open a calendar from which you can select the date that you wish the document to be archived. The time that the document is archived is automatically set to 00:00 of that day, but you can change this by clicking on the clock button and selecting a time. Once you have chosen the date and time to archive your document, click on Ok to save your selection. Clicking on ‘Cancel’ will close the box without scheduling the document to archive. Archived documents will appear at the bottom of the library.
Expiring Documents
If a document is still valid then the Document Status appears as ‘Active’. To manually expire a document click on the button; this will change the Document Status to ‘Expired’. The document will still appear in the library but it will be greyed out so that standard users cannot interact with it; users with sufficient permissions will be able to access Document Properties in order to alter the status of the document. Expired documents will appear at the bottom of the library. To reactivate the document click on the button; this will change the document status to ‘Active’ and users will be able to access the document again.
Schedule document expiration allows you to select the date that the document will be expired. To schedule a document to be expired first click on ; this will open the box shown below.
Then click on the date button ; this will open a calendar from which you can select the date that you wish the document to be expired. The time that the document is expired is automatically set to 00:00 of that day, but you can change this by clicking on the clock button and selecting a time. Once you have chosen the date and time to expire your document, click on Ok to save your selection. Clicking on ‘Cancel’ will close the box without scheduling the document to expire. As well as scheduling a document to expire you can also set a warning date, for example when your Insurance Certificate is about to expire you may wish to set a warning one month before expiry to give you time to renew your documents. The warning can be scheduled by selecting an appropriate date and time at some point before the document expires.
Once you have finished viewing the document properties, click ‘Close’ to return to the library.
